SDS check: are your safety data sheets complete and up to date?
Chemspark checks every safety data sheet (SDS) on nine points, from revision date to signal word. See at a glance which sheets are missing, expired or need attention, and what you can do about it.
What is an SDS check?
An SDS check verifies that your safety data sheets (SDSs, called VIBs in the Netherlands) are complete, current and usable. The law sets no fixed shelf life. Many companies use a period of a few years. In Chemspark you decide: choose an expiry period of 1 to 5 years in Settings, and how many days ahead you want a warning. Missing or outdated SDSs are a common finding in a labour inspection, and without a sound SDS a reliable risk assessment is not possible.
What Chemspark checks
For every product, Chemspark runs these nine checks. In the app you'll find them on the product page under SDS quality. When a point fails, it tells you what you can do:
SDS file present
Is a safety data sheet stored for this product? If not, you upload it.
Revision date present
Does the sheet carry a revision date? Without one, there's no telling whether it is still valid.
Within your expiry period
Is the SDS younger than the period you set, 1 to 5 years? An older sheet is flagged, so you request a current version from the supplier.
Supplier linked
Is the supplier known? Then you can quickly request a new SDS.
Hazard classification complete
Does the sheet carry the H statements, pictograms and signal word that the classification requires?
Components or CAS number
Are the substances and CAS numbers listed? They are needed to check against the SVHC, ZZS and SZW lists.
Physical state
Does it say whether the product is a solid, liquid or gas? That partly decides how you assess exposure.
Transport information
Is there a UN number, or is it recorded that the product is not regulated for transport?
Signal word fits the H statements
Do the H statements call for 'Danger' while the SDS says 'Warning', or is the signal word missing? Then you ask the supplier for a corrected SDS.
Why a current SDS matters
Your safety data sheets are the foundation for everything: your hazardous-substance register, the risk assessment and the workplace instruction cards. If the SDS is wrong, so is the rest. The SDS check shows which sheets need updating. Expired SDSs are listed by supplier under SDS updates, with a ready-made request letter. When the new SDS arrives, 'Replace SDS' compares it with the old one and shows which assessment, card or label you need to update.
