    Inventory

The inventory (page heading "Chemical Inventory") is the register of hazardous substances of a location: one row per product, with the hazards of the product itself, the risks of working with it and what still needs doing. This is also where new SDSs come in.

    For: Users · Admins

    What is on this page

    • Two tabs: "Hazard & Risk" and "Storage".
    • Top right, "Add Product" for one SDS, with in brackets how many products the plan already uses, and "Bulk Upload" for several SDSs at once.
    • A search box, "Filters" and "Columns" above the table.

    Hazard & Risk tab

    • "Hazard · intrinsic" (Health, Env., Fire & Expl.): how hazardous the product is in itself. It follows from the H-statements on the SDS, so it is the same wherever and however the product is used.
    • "Risk · qualitative" (Inhalation, Dermal, Fire & Expl.): how risky the work with the product is, from the saved risk assessments. It shows the highest risk of all assessed applications, or "Not assessed".
    • "Follow-up": whether the product has been screened, whether there is a quantitative assessment, and under Measures "Needed" while a result still asks for a measure.
    • Flags: a number after the name counts what is open. Hovering shows which they are ("Needs review", "SDS expired", "Assessment out of date", "Workplace card out of date" or "Card: assessment changed"), clicking expands the row.

Hazard and risk sit side by side on purpose. A very hazardous product used in a closed system can give a low risk; a less hazardous product handled openly every day can still need attention.

Expanding a row: What needs updating

The expand arrow in front of a row expands it. Under "What needs updating" it lists per product what no longer matches, each with a direct button:

    • Data from the SDS that still needs checking.
    • SDS expired, with "Replace SDS".
    • Risk assessment, Workplace card ("Built on an older SDS") and GHS label ("Reprint the container label") after a new SDS.
    • "See what changed" compares the current SDS with the previous version. When everything is in order it says "Everything is up to date with the current SDS".

    Search, filter and sort

    • Search by name, product ID or CAS number.
    • Under "Filters": Department, Workplace card ("Has a card" or "Missing a card"), "Show only 'Needs Review'" and the number of items per page. "Clear Filters" resets everything.
    • Sort with a click on a column header. Under "Columns" columns can be switched on or off, such as "Added Date", Product ID or SDS Code.

    Actions per product

    • "Open": the product page with all data from the SDS.
    • In the menu next to it: View SDS, Download SDS, Risk assessment (starts at the screening), create or edit the workplace card, and Delete product.
    • Deleting also removes the risk assessments and the SDS file and cannot be undone. A CMR registration is kept; in the CMR register the product then shows as no longer in use.

    Storage tab

Per product this shows which department holds it, how much and in which unit, with the physical state and the transport data from the SDS. Quantities do not come from the SDS; they are filled in by hand.

"Manage storage" places the product in a department ("Add Department"), changes a quantity or sets a "Max quantity (optional)". When a storage entry is above that maximum it shows "Over limit"; the dashboard counts it.

    Typical tasks

    • Add one or more SDSs, then check the data that was read.
    • Use the "Needs Review" filter to go through every product that still needs checking.
    • After a new SDS, work through "What needs updating" per product.
    • Screen one product from the menu, or all products from Risk assessment.

    Who can do what

    • User: sees the inventory of their own location and can do everything on this page there: add, edit, delete and keep storage up to date.
    • Admin: the same for every location of the organisation. Under "All locations" a Location column is added.
    • Departments are created by an admin. When there are none yet, the app asks a user to ask the admin to create them.

    Workflow

    Uploading SDSs

Every product in Chemspark starts with an SDS. Upload one SDS or several at once: Chemspark reads the SDS and fills the inventory, with no retyping.

    Workflow

    Checking the data ('Needs review')

Chemspark never fills in a guess. Anything it cannot take from the SDS with certainty gets the 'Needs review' flag, so that someone checks it against the SDS.

    Workflow

    Reading the inventory

The Inventory is the location's chemical register: every product with its hazards, the status of its risk assessment and its storage. It has two tabs: 'Hazard & Risk' and 'Storage'.

    Workflow

    The screening

Every product starts in Risk assessment with a short screening. A few questions about the work decide whether the product is safe as it is used, or whether it needs a further assessment.

    Workflow

    Processing a new SDS

When a supplier sends a new SDS, replace the old one. Chemspark first shows what changes and which assessments, workplace cards and labels no longer match because of it.

    Workflow

    Managing team and locations

An admin sets up the organisation: locations, departments and users. This is done under Admin in the menu, or via Settings › 'Manage team and locations'.

    Page

    Product page

The product page shows everything Chemspark read from the SDS of one product, in the order of the SDS. This is where data is checked and corrected, the SDS is replaced, and where you see what has been done with the product: risk assessment and workplace cards.

    Kit page

The kit page shows the parts of a kit side by side, such as a resin and a hardener. Chemspark saves each part as a product of its own; this page is the overview.
