SDS updates
SDS updates shows the products whose SDS has expired, expires soon or has no date. Chemspark warns and prepares the request; requesting and uploading the new version is up to the organisation. A product leaves the list once there is a current SDS, or once someone records that the current SDS is still current.

What is on the page
Products are grouped by supplier, each group headed by the number of SDSs to renew and the e-mail address. Products without a supplier are at the bottom, under No supplier linked.
- Product: the product name, plus the location when more than one location is in view.
- SDS revision date: the date of the current SDS, with Expired … ago, Expires in … or SDS date unknown.
- Request status: Not requested yet, or the status of the latest request with its date.
- When an SDS counts as expired is set by the organisation itself under Settings: the SDS Expiry Period and the Early warning.
What you can do
- Request SDS: from the supplier for every product in the group, or per product. Chemspark opens your own e-mail program with a letter to the supplier, listing the version you have now for each product. The request gets the status Pending. If the list is too long for an e-mail link, the letter is put on the clipboard to paste into the e-mail.
- New SDS: opens the product page, or for a kit the kit overview, to upload the new SDS.
- Changing a request's status: Pending, Declined or Still current. When a request stays unanswered for a long time, the row shows for how many days there has been no reply.
- Still current: record that the current SDS still holds, for example after the supplier confirmed it. The revision date stays, the product leaves the list and returns when the expiry period is nearly up again. Name and date go into the Logbook. Not possible for an SDS without a date.
- Filters: Term (Expired, Expires soon, No SDS date) and Request (Not requested yet, Pending, Declined). Clicking a column header sorts.
- No e-mail address for the supplier: the Add it under Suppliers link goes to that supplier.
Typical tasks
- Requesting SDSs from one supplier: in that supplier's group, click Request SDS.
- Check the letter in your e-mail program and send it.
- When the new SDS arrives, click New SDS next to the product and upload the file.
- What happens after an SDS is replaced: see 'Processing a new SDS'.
- The full approach, from requesting to Still current: see 'Keeping SDSs current'.
Who can do what
Everyone in the organisation can request SDSs, track the status, record Still current and upload a new SDS. A user sees the products of their own location; an admin can pick All locations at the top. The expiry period and the early warning are set by an admin.

Keeping SDSs current: SDS updates and suppliers
Chemspark warns when an SDS has expired, expires soon or has no date. SDS updates lists those products per supplier, ready to request a new version or to record that the current SDS is still current.
Workflow
Processing a new SDS
When a supplier sends a new SDS, replace the old one. Chemspark first shows what changes and which assessments, workplace cards and labels no longer match because of it.

Suppliers
Suppliers is the list of contact details of the organisation's suppliers. Every location uses the same list. The e-mail address shown here is where an SDS request is addressed.
