    Reports and the Logbook

Reports turns the organisation's data into an overview you can export as CSV or PDF. The Logbook records who changed what, and when; every entry is kept for 5 years.

    For: Users · Admins

    Building a report

    1. Open Reports in the menu.
    2. Under 'Start from', choose a custom report, one of the quick reports or a saved template.
    3. Choose the data source, for example Products, Measures or Earlier SDS versions.
    4. Choose the columns and set the filters. The report preview shows the result straight away.
    5. Click Export, choose Spreadsheet (CSV) or PDF and click Download.
    6. Need it more often, for example for an audit or inspection? Click 'Save Template'.

A report covers the selected location, or all locations when an admin has chosen 'All locations'.

    What can be exported

Everything the organisation records in Chemspark can be exported by the organisation itself, on every plan. There are 13 sources:

    • Products and Kit parts
    • Screening decisions, Risk assessments, Quantitative results and Measures
    • Workplace cards
    • Earlier SDS versions and SDS requests
    • Suppliers, Storage, and Locations & departments
    • Logbook

    Quick reports

    • All chemicals: the full inventory with health hazard, H statements, physical state, supplier and SDS date.
    • CMR register: every product with CMR H statements or with a substance from the SZW List, showing per product whether it counts for the CMR registration and why.
    • Regulatory lists per product: the CMR classification and the components on the SZW, ZZS, SVHC and REACH lists.
    • SDS expiry: per SDS the revision date and whether it has expired, oldest first.
    • High-risk assessments: assessments at High or Very high, candidates for extra measures.

    CSV or PDF

    • Spreadsheet (CSV): all rows, and the file opens in Excel, Numbers and Google Sheets.
    • PDF: a printable table via the browser's print dialog, with the report name, the filters, the organisation and the location at the top.

During a trial, export is locked; it unlocks on a paid plan.

    What the Logbook records

The Logbook records every change: to products, screenings, risk assessments, measures, workplace cards, storage, suppliers, departments, locations, users and their roles, and own limit values. Each entry shows who did it, when, and what it is about. For key fields, such as the H statements, the revision date, the risk level and the measure, it shows the old and the new value.

Every entry is kept for 5 years. If a user has been deleted, the entry shows 'Deleted user'.

    Searching and exporting the Logbook

    1. Open Logbook in the menu.
    2. Search by product, user or description.
    3. Filter by part, action and period, or choose 'Important changes only'.
    4. Expand an entry for the details; 'All changes to this record' brings the full history of that record together.
    5. Click Export for a CSV or PDF with the changes from before to after.

    Compliance and the CMR registration

Compliance shows which products contain a substance on a regulatory list. For carcinogenic, mutagenic and reprotoxic substances, Chemspark also helps with the registration the Dutch Working Conditions Decree (Arbobesluit) requires.

Keeping SDSs current: SDS updates and suppliers

Chemspark warns when an SDS has expired, expires soon or has no date. SDS updates lists those products per supplier, ready to request a new version or to record that the current SDS is still current.

    Workflow

    Processing a new SDS

When a supplier sends a new SDS, replace the old one. Chemspark first shows what changes and which assessments, workplace cards and labels no longer match because of it.

    Workflow

    Measures and the worklist

The worklist in Risk assessment shows where every product stands, from screening to done. A high risk stays open until a measure is recorded.

    Workflow

    Managing team and locations

An admin sets up the organisation: locations, departments and users. This is done under Admin in the menu, or via Settings › 'Manage team and locations'.

    Reports

Reports takes everything the organisation records in Chemspark out of the app: as an on-screen overview, as a CSV for a spreadsheet or as a PDF to print. Exporting is part of every subscription. The data stays the organisation's own.
