    Measures and the worklist

The worklist in Risk assessment shows where every product stands, from screening to done. A high risk stays open until a measure is recorded.

    For: Users · Admins

    The four columns

    • To screen: the product has no screening yet.
    • Assessment needed: the screening sees a possible risk, or an assessment needs another look after a new SDS.
    • Measures needed: an assessment came out High or Very high, or a calculation does not pass, and no measure has been recorded yet. This column has high priority.
    • Done: acceptable according to the screening or the assessment, or the measures have been recorded.

Above the columns is the progress line: the number of products, how many of them are screened and assessed, and how many have a high risk.

    Every row says why

Each product shows why it is in that column, for example 'Inhalation: Very high' with what drives that risk, or 'skin contact not assessed yet'. The button on the row opens the next step: 'Screen', 'Assess' or 'Record measures'.

A product in Done comes back with a new SDS in which the data for the screening or the assessment changed, or after 'Re-screen' when the work has changed.

    Recording a measure

    1. Click 'Record measures', in the worklist or under 'Your turn' in the assessment.
    2. Under 'For which result?', choose the result or results the measure covers.
    3. Under 'Which measure?', choose the type of measure.
    4. Briefly describe what was done, and where. A description is required.
    5. Click 'Record'.

The measure goes into the Logbook, with the name of who recorded it and the date.

Which measure? The hierarchy of controls

The choices follow the legal order of the hierarchy of controls:

    • Substitution: with a less hazardous product. The new product gets its own screening.
    • Technical measure: for example extraction at the source, a closed system or a changed process.
    • Organisational measure: for example a work instruction, a shorter exposure time or fewer people in the area.
    • Quantitatively supported: the exposure has been calculated or measured and judged acceptable. When a calculation stays below the limit value, record it this way.
    • Personal protection (last step): only if substitution and technical measures are not reasonably possible. Explain why, and choose which result the protection covers: gloves protect the skin, respiratory protection the airways.

What a measure does and does not do

    • A measure closes the open point; the product moves to Done when nothing else is open.
    • The risk level stays. Extraction or personal protection does not lower it either, so it remains clear why the measure is needed.
    • A measure covers the result that is ticked. A result that is not ticked stays open.
    • If a calculation is above the limit value while a measure is already in place, Chemspark asks whether the measure is enough.
    • Technical and organisational measures appear under 'Agreements at this workplace' when the workplace card is drafted again.

    Notifications

As long as a high risk has no measure, there is a 'High risk without a measure' notification; for a calculation above the limit value it is called 'Calculation above the limit without a measure'. Once the measure is recorded, the notification shows 'Resolved'.

Risk assessment: inhalation, skin, fire and calculation

When the screening points to a possible risk, an assessment per exposure route follows. The input comes from the SDS and the screening; the risk level and the advice appear straight away.

    Workflow

    The screening

Every product starts in Risk assessment with a short screening. A few questions about the work decide whether the product is safe as it is used, or whether it needs a further assessment.

    Workflow

    Making workplace cards

A workplace instruction card shows per product what workers need to know at the workplace. Chemspark drafts it from the SDS and the recorded measures; then someone reads the card, saves it and posts it.

    Reports and the Logbook

Reports turns the organisation's data into an overview you can export as CSV or PDF. The Logbook records who changed what, and when; every entry is kept for 5 years.

    Risk assessment

On this page every product moves from screening to a finished assessment. The page has two views: the worklist with all products, and the assessment of one product with a tab per route.

    Notifications

Notifications collects what needs attention: an SDS that expires, a high risk without a measure, a product on a regulatory or custom list, and more. Notifications live in the app, under the bell at the top; Chemspark does not send them by e-mail. The page opens from the bell, with View all notifications.

    Logbook

Look up in the Logbook who changed what, and when, for example to find out why a value changed or to show what has been done. Every entry is kept for 5 years and cannot be edited or deleted.
