    Making workplace cards

A workplace instruction card shows per product what workers need to know at the workplace. Chemspark drafts it from the SDS and the recorded measures; then someone reads the card, saves it and posts it.

    For: Users · Admins

    What is on the card

    • Top hazards, from the SDS's H-statements, in plain language, with the signal word.
    • PPE — before you start: eyes and face, hands, body and clothing, breathing, feet.
    • While handling: how to work safely with the product.
    • Agreements at this workplace: word for word the technical and organisational measures from this location's risk assessment.
    • If something goes wrong: splash in the eye, skin contact, inhaled, swallowed, spill or leak, and fire.
    • Fire and Storage: among other things the suitable extinguishing media, the storage conditions and what must not be stored together.
    • Card details: Emergency contact (internal), Responsible person, Posted on and Review by.

The card fits on one A4, in Dutch, English or bilingual side by side. A card belongs to a product at a location, because the agreements differ per workplace.

    Making one card

    1. Open a product's card: with the Workplace card button on the product in the Inventory, with 'Draft a card' on the product page, or via Workplace Cards.
    2. Choose the location and, under 'Card language', Dutch only, English only or Bilingual (side-by-side).
    3. Click 'Generate from SDS'.
    4. Read every block. Change anything that is wrong or specific to this workplace.
    5. Fill in the card details: Emergency contact (internal), Responsible person and Review by.
    6. Click 'Save', check the 'Preview' and click 'Print'.
    7. Post the card and fill in 'Posted on'.

If 'Review by' is empty when you save, Chemspark sets it to twelve months later.

    Always read it

The draft is a draft: only after reading and saving is it a card. Chemspark checks the draft against the SDS. If that check finds something to look at, the top says 'Check these points before posting the card', with the reason.

If the card does not fit on one A4, Chemspark says so. Shorten the texts or choose one language.

    Cards for several products

    1. Go to Workplace Cards, tab 'Needs a card'. The products are sorted by hazard, highest first.
    2. Select the products.
    3. Choose the card language and click 'Generate … cards'.
    4. Then open each card, read it and fill in 'Posted on' once it is up.

Up to 25 cards are made per run. They are saved without a posted date, so it stays visible which cards still need reading and posting.

    Which products need a card

The 'Needs a card' tab follows the setting 'Workplace card needed from' under Settings. There an administrator chooses per hazard (Health, Fire & explosion, Environment) 'From High', 'Very high only' or 'No'. By default it is Health and Fire & explosion from High, and Environment off. You can always make a card, also for other products.

    Keeping cards current

    • The 'Card register' tab shows every card with its status: Not posted yet, Active, Review due soon or Review overdue.
    • When 'Review by' approaches, a 'Workplace card review due' notification follows.
    • After a new SDS the card is flagged 'Workplace card out of date'. Draft it again with 'Regenerate from SDS'.
    • If the risk assessment or a measure changed, it shows 'Card: assessment changed'. If the card is still right, click 'Card still correct'; otherwise draft it again. A new measure only reaches the card when it is drafted again.
    • The Logbook records who saved a card and when, not the card's previous text.

    The QR code

The card can carry a QR code. It opens the product in Chemspark after logging in.

    Measures and the worklist

The worklist in Risk assessment shows where every product stands, from screening to done. A high risk stays open until a measure is recorded.

    Workflow

    Printing GHS labels

A GHS label for use in the workplace, for example on a spray bottle or a bottle a product is decanted into. Chemspark builds the label from the SDS data; the supplier's classification stays leading.

    Workflow

    Processing a new SDS

When a supplier sends a new SDS, replace the old one. Chemspark first shows what changes and which assessments, workplace cards and labels no longer match because of it.

    Workflow

Risk assessment: inhalation, skin, fire and calculation

When the screening points to a possible risk, an assessment per exposure route follows. The input comes from the SDS and the screening; the risk level and the advice appear straight away.

    Workplace cards

A workplace instruction card tells employees on one A4 page what they need to know about a product: the hazards, the protective equipment, safe handling and what to do if something goes wrong. On this page cards are made, tracked and reviewed on time.

Settings has three blocks: My account (only for the user themselves), Organisation (applies to everyone in the organisation) and Subscription.

    Notifications

Notifications collects what needs attention: an SDS that expires, a high risk without a measure, a product on a regulatory or custom list, and more. Notifications live in the app, under the bell at the top; Chemspark does not send them by e-mail. The page opens from the bell, with View all notifications.

    Product page

The product page shows everything Chemspark read from the SDS of one product, in the order of the SDS. This is where data is checked and corrected, the SDS is replaced, and where you see what has been done with the product: risk assessment and workplace cards.
