Workplace cards
A workplace instruction card tells employees on one A4 page what they need to know about a product: the hazards, the protective equipment, safe handling and what to do if something goes wrong. On this page cards are made, tracked and reviewed on time.

What is on this page
The page is called Workplace Instruction Cards and has two tabs: "Needs a card" for products that do not have a card yet, and "Card register" for the cards that already exist.
Needs a card tab
- "Products without a card", sorted by hazard, highest first. The label after a product shows the hazard level that asks for a card.
- With "Card needed only" the list shows only the products that need a card under the setting "Workplace card needed from". Switched off, the other products are listed too; a card can always be made.
- Search by name or CAS number, and "Select all".
- On the right, "Generate cards": choose the Card language (Dutch, English or Bilingual (NL + EN)) and click "Generate … cards". Up to 25 go per run; run it again for the rest.
Each card gets a draft from the SDS and is saved without "Posted on". Then open each card to check it. Cards marked "Check first" turned up something to look at in the automatic check.
Card register tab
- "Posted cards": every card with Product, Language, Created, By, Review by and Status.
- The status is "Not posted yet", "Active", "Review due soon", "Review overdue" or "No review date".
- "Assessment changed": the risk assessment or the measures changed since the card was drafted. After checking, "Card still correct" in the opened card or on the product page clears the flag; the card itself does not change.
- "Open" opens the card to edit or print it.
The card itself
A card belongs to one product at one location. Choose the Location and the Card language (Dutch only, English only or Bilingual (side-by-side)). For a new product, "Generate from SDS" prepares a first version from the SDS and the risk assessments of that location. Every field can be edited afterwards.
- Top hazards and Signal word, from the product's H-statements.
- PPE — before you start, While handling, If something goes wrong, Fire and Storage, from the SDS.
- Agreements at this workplace: the technical and organisational measures from the risk assessment, word for word. Changing them here does not change the risk assessment.
- Card details: Emergency contact (internal), Responsible person, Posted on and Review by (one year later by default).
Save and print
- "Save" or "Save changes" overwrites the card. The Logbook records who saved a new version and when, not the previous text.
- "Preview" shows the card as it will print; "Print" works after saving and gives one A4 page.
- When "QR code on the card" is on (the default), a colleague with an account opens the product in Chemspark through that code, after signing in.
- During a trial, printing is locked; it opens up with a paid plan.
Why a card gets a flag
A card remembers which SDS and which assessment it was based on. When a new SDS arrives, the card gets "Workplace card out of date"; when the assessment or a measure changes, "Card: assessment changed". Chemspark does not change the card itself: "Regenerate from SDS" makes a new draft, which is checked first. When the Review by date comes near, a notification follows.
Typical tasks
- Draft cards in one go for every product that needs one, then check, print and post them one by one.
- After posting, fill in "Posted on" so the card shows as Active in the register.
- In the Card register, go through the cards with a review due or "Assessment changed".
Who can do what
- User: makes, edits, prints and deletes cards for their own location.
- Admin: the same for every location, and sets "Workplace card needed from" under Settings: which hazards ask for a card and from which level.

Workflow
Making workplace cards
A workplace instruction card shows per product what workers need to know at the workplace. Chemspark drafts it from the SDS and the recorded measures; then someone reads the card, saves it and posts it.
Workflow
Measures and the worklist
The worklist in Risk assessment shows where every product stands, from screening to done. A high risk stays open until a measure is recorded.
Workflow
Processing a new SDS
When a supplier sends a new SDS, replace the old one. Chemspark first shows what changes and which assessments, workplace cards and labels no longer match because of it.
Page
Product page
The product page shows everything Chemspark read from the SDS of one product, in the order of the SDS. This is where data is checked and corrected, the SDS is replaced, and where you see what has been done with the product: risk assessment and workplace cards.
Page
Risk assessment
On this page every product moves from screening to a finished assessment. The page has two views: the worklist with all products, and the assessment of one product with a tab per route.
Page
GHS Labels
This page prints GHS labels for use at the workplace, for example for a spray bottle or a bottle a product has been decanted into. The label takes over the supplier's classification from the SDS.
